Organize Your Home Business From Top To Bottom
September 6, 2008
Do you own a successful internet business? Even if your business isnt successful yet, how organized is it? I know it sounds silly because most if not all your work is actually on the internet, so what is there to organize? From the space you actually work in to your business record keeping to your working schedule, organization is important to your business.
While these concepts may not directly make you money, they are the backbone of your business. If you miss a deadline because you couldnt find the paperwork or never got to the bottom of the pile to do it in the first place, it could be costly. If your emails are not responded to in a reasonable amount of time, your customers or potential customers will move on to the next guy who can. Organization is important to any business.
Workspace
If you are able to dedicate a whole room to your business, this is recommended. As time goes on, you will have full file cabinets along with your desk and chair and computer equipment. If you market your internet business offline, these materials will take up space in your office. It is also advised that you have this separate space for your frame of mind. Each room you frequent has its own function , so you want to set the mood, so to speak, of your office. If you cannot dedicate a whole room to your home business, then sectioning off a part of another room is your next best option.
Its important to realize that your business extends from your computer and encompasses the space surrounding it. Keep your desk space organized with your supplies in their own place like a drawer or cabinet and your financial records securely filed. It is easy to sit down and work at your business if old business and other materials are neatly tucked away out of sight. Having available writing space to make notes in your notebook, endorse checks for deposit and write checks to pay bills is important and alleviates the stress that clutter brings forth.
You will inevitably need some office supplies in the operation of your business and it is imperative that these be held separately from the supplies used elsewhere is your home or office. Notebooks, pens and pencils, a calculator, printing paper, and filing folders are all necessities and should be purchased separately to keep the records straight. Deposit tickets for your incoming money and checks to pay your bills with are an important part of your bookkeeping system.
Recordkeeping
You will need to use some sort of bookkeeping software. It is possible to keep your books accurately outside of your computer, but it is not practical given your computer knowledge. There are many programs available as you may only need to record the money that goes out in expenses against the money that comes in in revenues. This is important to know how your business is doing and aid in making decisions in the business as well as having your financial information gathered when it comes to time to report your income.
In addition to keeping your records in some sort of bookkeeping software, you must also have the records physically kept in a way that it is easy to find any document you may need. Filing should be an on going or regular activity if you dont want a box of documents out of order and needing to be re-organized. You should have files on dated banking documents, check stubs from income, receipts for expenses paid, etc. You know your business better than anyone, devise a filing system that works for you and your business.
Other documents that are important to your business would printed contracts, sign in information for various vendors, other information and documents that you will need to keep for the operation of your business. While these may not apply to a specific time frame, and dont belong in the financial records files, they should still be kept organized.
Working Schedule
A weekly schedule for your work in your home business is important to stay on top of things. Its easy to get distracted, especially on the internet from what needs to be done. If you have done any research on getting traffic to your site, then you know it will take repetitive actions to make that happen. Dont let the little things fall through the cracks. You will need to create a system of dealing with your recurring activities.
First, you should list all of the activities you do (and should do) for your home business and how often they need to be done to be successful. For example, in my business, I post to forums and blogs on a daily basis and write and publish an article every week. I also have activities that need to be done on a monthly basis. Whether it is placing free classified ads, monitoring PPC ads, checking the status of your working tools, or adjusting your autoresponder messages, there are things your business needs done consistently on a regular basis.
Next, you will need a create a worksheet that allows you to see what you need to work on at a glance. Be creative and design a system that works for you and that you are comfortable with. My working schedule is one that I created by typing up the daily activities with corresponding checkboxes for each day. I also included a form for my article information that I am working on throughout the week. This has saved me a lot of time by making me get right to work and not forget anything. I have also added a place to include my monthly activities.
A working schedule will not help you if you do not stick with it. The same goes for any other organizational element mentioned here. Your home business needs your constant attention if you want it to succeed. It can make all the difference in the world.
